Submission is Now Closed

Applications to organize a virtual networking event were accepted starting Monday, August 30, 2021 through Wednesday, October 27, 2021.

Who Can Submit
Only SfN members, exhibitors, and annual meeting sponsors who have registered for Neuroscience 2021 may submit a request to host a virtual event. There is no additional charge for submitting a request. Join or renew your SfN membership today to host a virtual event.

What is a Virtual Networking Event?
A virtual networking event is a social, reception, alumni event, reunion, specialty group gathering, lecture or symposium that includes some neuroscience content or relevance.

All events are scheduled virtually from November 8-12, 2021, in conjunction with Neuroscience 2021, and must adhere to SfN’s Guidelines for Meetings and Conferences. This includes abiding by the SfN Code of Conduct for Scientific Meetings. Events will be reviewed and approved by the SfN Program Committee.  Organizers will be informed of their event status within two weeks of the submission date.

Accepted Events
Accepted events will be listed in the SfN Networking Events Page. Organizers are responsible for selecting a virtual venue, hosting the event, and monitoring the event for appropriate conduct. Events will not be hosted on the SfN platform and will not be monitored by SfN staff. 

Virtual Event Dates and Times 

  • Monday, November 8, 7:30-8:30 a.m. and 4:30-5:30 p.m. CST 
  • Tuesday, November 9, 7:30-8:30 a.m. and 4:30-5:30 p.m. CST 
  • Wednesday, November 10, 7:30-8:30 a.m. and 4:30-5:30 p.m. CST
  • Thursday, November 11, 7:30-8:30 a.m. and 4:30-5:30 p.m. CST
  • Friday, November 12, All Day CST

These recommended timeframes do not conflict with the annual meeting programming. Events may start earlier in the morning or later in the evening to accommodate your specific time zone, as long as they do not overlap with the annual meeting program events. 

General Information

  • Fees and Refunds

    • There is not a separate charge to organize a virtual networking event.
    • SfN members, exhibitors and annual meeting sponsors are required to register for Neuroscience 2021 prior to submitting a request to organize a virtual networking event.
    • If you need to cancel your virtual event, your event will be removed from the Neuroscience 2021 Virtual Networking Events Page. Your meeting registration fee will not be refunded. 

  • Marketing Options

    • Banner ads may be purchased to promote an event.
    • Media Kits options are available at www.sfn.org/advertise.
    • Explore sponsorship opportunities for the virtual event. 
    • Promote on social media using the virtual event hashtags.
     

  • Event Requirements

    • The virtual networking events must include some neuroscience content or relevance. 
    • Events are open to all attendees.
    • Brief scientific lecture-based presentations are permitted. 
    • Organizers are responsible for selecting a virtual venue, hosting the event, and monitoring the event for appropriate conduct. All virtual networking events will be held outside of the SfN platform. 
    • Organizers must disclose to attendees if the event is being recorded or if attendee information is being shared with any third parties.
     

  • Submission Requirements

    • SfN members, exhibitors, and annual meeting sponsors must be registered for Neuroscience 2021 prior to submitting a request to organize a social. 
    • Each virtual networking event may be scheduled for up to two timeframes to reach a broader audience. The same event may be scheduled twice in one day or once on two separate days. 
    • Organizers may submit more than one separate virtual networking event request. 
    • Events will be reviewed and approved by the Program Committee. 
    • All events are scheduled in conjunction with Neuroscience 2021 and must adhere to SfN’s Guidelines for Meetings and Conferences and abide by the SfN Code of Conduct for Scientific Meetings. 
     

  • Approved Actions

    • Organizers are approved to distribute product literature via email during the event. 
    • Organizers may refer to a product as a reference tool during presentations. 
    • Organizers are permitted to conduct drawings or award gifts to attendees during their virtual networking event. Organizers must adhere to the exhibitor guidelines for giveaways. 

  • Prohibited Actions

    • Private event requests will not be accepted.
    • Commercial products may not be distributed. 
    • Product demonstrations are not permitted. Product demonstrations are only permitted in the virtual exhibit hall.
    • Organizers are not permitted to use the Society for Neuroscience’s name, acronym, or logo on website URLs, email subject lines, or marketing materials. 
    • The Neuroscience 2021 logo may not be used without prior written permission. The event may be referred to by organizers as Neuroscience 2021.
