Frequently Asked Questions

How do I register for the annual meeting?

Registration for the annual meeting opens in July. View registration information for details on registering. 

Do I have to be a member to attend?

No, but the registration fees are reduced for members.

How can I become an SfN member and receive discounted registration rates and other member benefits?

You must apply for SfN membership PRIOR to registering for the annual meeting in order to receive member registration rates. Refunds will not be issued for incorrect registration categories. If you choose to register under another category before your membership status is verified, the difference will not be refunded to you. No exceptions. If you are uncertain about your membership status, contact membership@sfn.org.

What does my registration fee include?

Your registration fee includes access to all SfN-sponsored sessions, lectures, exhibits, symposia, posters, and nanosymposia presentations. No meals are included in the registration fee. 

Is there an exhibit hall only or single day registration fee?

No. To visit the exhibit hall or to attend any part of the SfN scientific sessions, you must register for the entire meeting.

Do I have to register for the annual meeting to attend a satellite event?

No. Satellite and ancillary events are not sponsored by SfN.

Do I have to register and pay the registration fee if I submitted an abstract?

Yes, you must register and pay the registration fee to present your abstract at the meeting. The abstract handling fee is a separate fee and does not include registration for the annual meeting.

Can someone else register another person?

Yes, as long as they can provide all of the necessary information and payment.

Who can register as a guest?

A guest is a non-scientist family member or guest of a scientist. Guest registration fee includes a badge, admission to social events, and access to a scientific event for the sole purpose of observing the registered scientist's presentation.

The following process and restrictions apply:

  • A guest is only allowed to register once during the annual meeting.
  • A maximum of two guests per registrant are allowed.
  • Guests are only allowed to be at the annual meeting one full day. Include the guest name(s) on the annual meeting registration form.
  • Include the day the registered scientist's presentation will be given on the registration form. The indicated day is printed on the guest's badge.
  • Guests are admitted to scientific events (including poster and nanosymposium sessions and the exhibit area) only on the day on the guest badge.
  • Guest registrations are available for the in-person meeting only.

Can I pay by credit card?

Yes, you may pay for the registration fees by credit card. The credit cards accepted are Visa, MasterCard, American Express, and Discover.

Can someone else from my organization or company pay for my registration?

Yes. Start the registration process and select the “Registration on Hold” option. This will allow you to place your registration on hold until SfN receives payment. This option is available for online credit card payments only. An email will be sent to you and the payer with a link allowing the payer to pay for the registration.

For the advance registration fee to apply, payment must be received by the advance registration deadline. After this deadline, the regular registration fee will apply.

Note: Your registration is not complete until SfN receives payment and housing reservation access won’t be permitted until payment has been made.

Will I receive my badge prior to traveling to the annual meeting?

Badges will not be mailed. You will be able to pick up your badge on-site at the convention center. 

What do I do if I’ve lost my badge?

You may purchase a replacement badge at the registration area of the convention center. Each replacement badge costs $50.

Where do I go for badge corrections?

You may make badge corrections at the registration area of the convention center during registration hours.

May I send someone to the meeting in my place if I have registered but am unable to attend?

Email requests to: sfnregistration@maritz.com. Read more about the registration substitution policy.

What is the cancelation/refund policy?

A registration cancelation fee for processing is deducted from refunds: $15 for students and $30 for members and nonmembers. Guest registration fees are not refunded. Read more about the registration cancelation/refund policy.

Should I notify SfN during registration if I have disabilities and/or special needs?

If you have a disability or special need that may impact your participation in the annual meeting, check the appropriate box on the online registration form and describe your disability-related needs. SfN staff will contact you before the annual meeting to discuss your requirements. SfN cannot ensure the availability of appropriate accommodations without prior notification of need.
